Sales Operations Executive – CRM Specialist
About the role
We are looking for a dynamic and analytically driven Sales Operations Executive – CRM Specialist to join our growing team. This role is pivotal in supporting our outbound sales initiatives by ensuring our CRM ecosystem is streamlined, data-rich, and strategically aligned. You will manage and enhance our CRM workflows, support telecalling performance, build critical B2B databases (primarily USA-based distributors), and drive measurable sales operations outcomes.
The ideal candidate is a blend of technical precision, research ability, CRM mastery, and sales understanding. You should have hands-on experience with CRM platforms (Zoho CRM preferred), strong communication skills, and the ability to coordinate and manage telecalling teams through data-backed strategies.
Key responsibilities
- Manage and configure the CRM system to support client acquisition and engagement workflows while maintaining CRM hygiene through routine data validation, deduplication, and error audits.
- Automate sales campaigns, track lead status, and build CRM dashboards to highlight progress, gaps, and key performance metrics.
- Act as the internal CRM specialist by training and supporting sales/telecalling teams on CRM usage and ensuring adherence to defined workflows.
- Design and manage sales workflows based on territory research, product fit, and success probabilities while coordinating campaign execution through CRM by assigning territories and quotas to telecallers.
- Research, source, and compile a robust database of potential product distributors (single-store & chain outlets) in the U.S. using websites, social platforms, business directories, competitor networks, and LinkedIn.
- Build structured contact hierarchies including owners, purchase managers, and other key decision-makers, and qualify relevant B2B contacts.
- Analyze telecalling performance by reviewing call recordings, evaluating calling outcomes, tracking metrics (connect rate, conversion %, objection handling success), and refining outreach strategies.
- Provide constructive feedback, ensure accountability, and create structured task lists for telecallers while monitoring timely follow-ups and CRM updates.
- Design and maintain structured follow-up cycles in CRM for cold leads, warm leads, and callbacks while establishing SOPs for lead status progression until closure or disqualification.
- Consolidate lead and territory data into Google Maps to enable visual territory planning, regional activity tracking, and visibility for sales leadership.
Preferred skills
- Hands-on experience with Zoho CRM (preferred) or Salesforce.
- Strong knowledge of sales workflows, lead scoring, pipeline management, and CRM automation.
- Basic data analysis and visualization (Excel, Google Sheets, Tableau, or equivalent).
- Familiarity with LinkedIn search and engagement tools for B2B lead generation.
- Ability to analyze call performance data and optimize team effectiveness.
- Clear written and verbal communication skills.
Required qualifications
- Bachelor's degree in Business Administration, Marketing, or a relevant field.
- Minimum 1 year of experience in CRM management, sales operations, pre-sales, or data analytics.
